Gayle and Colin Wilson under the name of Gold Coast North Pickleball have invited you to play with them and other invited guests under the terms and conditions listed below. Clicking YES to the session on the STACK TEAM APP means you agree and will abide by these terms and conditions.
COMMUNICATION
To maintain access to the RSVP list, players must remain subscribed to our email list or have mobile notifications enabled. If a player unsubscribes from the email list and turns off mobile notifications, they will be moved to the casual player list and must contact Gayle directly to enquire about availability. Please note that by opting out of both email and mobile notifications, you will not receive cancellation notices if a session is cancelled and this is why you have been moved to the casual player list.
SESSION SIGN-UPS
Before signing up for a session, please read the description carefully to understand what you're committing to. Prepayment and being on the YES list is NOT a guarantee of a spot. Players understand that due to a short fall in numbers for one session and too many players in another, they may be moved into another playing group to balance numbers on a specific day or night. Gayle and Colin reserves all rights to determine who will play in each session. Any player may be moved to the waiting list for these reasons.
RSVP:
- Always check the app to see your status
- RSVPs are essential; if plans change, remove yourself from the list BEFORE the session and click "NO"
Consequences of Late Cancellation or No-Show:
- Players who fail to attend after RSVPing YES will be removed from the RSVP list access and added to the casual player list
- Late cancellations impact other players and session planning so please keep that in mind
Understanding Your RSVP Status:

- GOING (green circle): confirmed spot
- WAITING (orange circle): on the waiting list
- No coloured circle: you have NOT rsvpd
BOOKING FOUR SPOTS (Group Booking)
When making a group booking for 4, 8, or 12 players, please note the following:
- Prepayment is required when clicking YES via the app to secure your booking
- A minimum of 24 hours notice is required for a full refund or credit if you cancel
- The 10am cancellation policy does not apply to group bookings
SKILL LEVELS
Gayle assigns skill levels to all players who will have access to the sessions appropriate for their skills. Unless a player is demonstrating exceptional superior skills above those in the designated level, they will NOT play in a higher skill. This is not negotiable.
Downgrading Player Skill Rating
A player may be downgraded for the following reasons:
- Decreased playing ability due to injury or cognitive issues
- Mobility issues where the player struggles with more skilled players
RESUMING YOUR PLAY AFTER A PERIOD AWAY
Casual Players (playing irregularly):
- Will not have access to the RSVP list and cannot pre-book
- Can RSVP via text message
- Are not automatically guaranteed a spot
- Booking must be prepaid
Returning Players (after a period of absence):
Please be aware that changes may have been made to how your skill level session is being run.
If you have returned to play, do not assume you will be grouped with the same players before you stopped playing. Most times their skills have improved. You may if you are lower skilled be placed back in the beginners group.
SETTING UP & PACKING UP
We understand some week night session players who work, cannot arrive early due to being stuck in after work traffic. We accept this situation. If you are running late, send Gayle a txt. If arriving at 6.20pm is difficult, you must inform Gayle of this.
For Tuesday and Thursday night sessions, arrive from 6.00pm (no earlier) to set up only one court. You then can start hitting up with the 3 other people who helped set up the court with you. As players arrive, more courts are set up. For weekends, arrive at 4.50pm for a 5pm start.
What we do not accept is any player who leaves early and does not help to pack up the court they were playing on OR stays back on the court and does not help carry the equipment back to our car. No player is to walk away from a court and leave it for other players to pack up. Repeat offenders will be no longer welcome to play in our sessions. We all have busy lives and all our time is equal. Sessions at Pimpama finish at 8.30pm, no later as we have not paid for that court time.
When packing up nets, there is a procedure and for a reason. We appreciate your help doing this. Please do not pack up a net until a player has shown you the correct way to do it. JUST ASK FOR HELP. This is to avoid tangled nets and damage to the expensive equipment. We speak from experience. Here is a net that took Colin 75 minutes to untangle because it was incorrectly packed away.
TIME TO ARRIVE & LEAVE
Please arrive at 4.50pm for Sundays and from 6.00pm weeknight sessions to help set up. Please be aware that if you have to leave early then you are affecting the players left on the court. If you have somewhere to be straight after pickleball, then it is recommended to cancel your rsvp.
BYES
It is has been our policy for no byes, however due to recent late cancellations, injuries, illness and leaving early to go to work (05/03/2024) if numbers permit, there will be a bye. This then means if a player can no longer play the bye player will replace the missing player. As long as there are more than 8 players, a player will only have one bye. If you do not like byes, do not RSVP.
WINTER. No byes in winter so if there is one player over, the last player on the RSVP list will be moved to the waiting list. This also means there may be only 2 or 3 on a court due to late cancellations.
CHILDREN & SUBSTITUTE PLAYERS
Our organised sessions are not suitable for children unless you have booked a separate court of 4 players in the GIGGLE PICKLE session. If you have RSVP'd with a "+1", please ensure that your guest is a willing participant and of the same skill level as the session they will be playing in. If your substitute has never played before, they cannot participate without prior approval from Gayle.
For safety reasons, children are not permitted within the court area while their parent or guardian plays. This includes babies in prams, and there are no exceptions to this rule. We appreciate your understanding and cooperation in this matter.
ANIMALS
Unless they are service dogs, dogs are not permitted at the Pimpama Sports Hub.
PIMPAMA PAYMENTS & REFUNDS
If a player fails to attend the session and has replied yes to the app, they will be liable for the playing fee. Failure to make the payment within 24 hours after the session played will see you removed from future sessions until payment has been made. Please do not bulk prepay for sessions.
If the courts have been set up and we are rained out, no refunds.
PayId is part of your internet banking. Please take the time to become familiar with this part of your own banking service. It is the simplest way to make a payment with less input errors. It also provides an instant payment. You can use our BSB account number as well. Banking details are in the session details.
New and visiting players to our sessions are required to prepay via internet banking.

If a player continually pays late or receives 3 requests for payment, they will be placed on the casual player list.
It is the player's responsibility to keep track of their credits. To avoid credits, if the weather is questionable, hold off with your internet payment and make it when the session is definitely going ahead.
CANCELLATION DEADLINE
Must be by 10am of session day. ANY cancellation after 10am on the day of the session will still be charged the playing fee. Failure to pay this fee will see the players RSVP access removed.
This cancellation policy does not apply to group bookings. Refunds will be given if rained out.
Being stuck in traffic or last minute cancellation due to injury is not a reason for a refund/credit.
In the event of multiple cancellations meaning it is not viable to book 3 or 4 tennis courts, wewill determine who will be playing, regardless of position on the list. This is not negotiable.
WEATHER CANCELLATIONS
If we cancel a session, the first update will be from 4.30pm for night sessions and one hour before Sunday sessions the latest, possibly earlier. The session will show CANCELLED and all players on the list will receive an instant phone notification and or email. If you have chosen to turn off notifications and unsubscribed from emails then it is your responsibility to check the app for cancellation notices if the weather is questionable.
We will do our best to make the cancellation as soon as possible. Sometimes rain is difficult to predict so please be understanding of this. We may cancel in times of high winds. Please do not txt asking if the session is going ahead. Wait for the notification. No notification, then the session is proceeding.
PLAYER CODE OF CONDUCT
At pickleball sessions, we strive to create a welcoming environment where everyone feels valued and supported. When a player makes an error, offer kind words of encouragement instead of criticism. Remember, we all make mistakes, and it's essential to treat others with the same understanding and empathy we would want for ourselves.
Please refrain from negative comments, facial expressions, and sounds of frustration, which can be hurtful and damaging. Instead, focus on building other players' confidence and celebrating our shared love of the game. Every player deserves to leave the session feeling positive and uplifted, not upset or belittled.
If you experience or witness mistreatment, please don't hesitate to speak up and report it. We are all in this together to create a community that is inclusive, supportive, and fun for everyone. If multiple players make similar complaints regarding a specific player, that player will be instantly removed from the group without a warning.
Good Sportmanship
Intentionally targeting another player with a nasty Nelson (using extreme power) will not be tolerated. What the player may have thought was a harmless prank reflects poorly on the player's character and demonstrates a blatant disregard for the respectful and friendly environment we strive to maintain. While this specific action is stated in the rule book (Section 4.A.3, 2024 rules) as legal, it undermines the spirit of sportsmanship and respect that we expect from all players during our sessions.
Deliberately hitting a ball at another player's body or head with the intention of causing harm, injury or to intimidate is strictly prohibited and will not be tolerated under any circumstances.
Unsportsmanlike behaviour will not be condoned in our community, and will result in a one week suspension. Repeat offenders will be removed from the sessions. We expect all players to conduct themselves with sportsmanship and respect for their fellow players.
All players are expected to follow the session format and are not to refuse to play in a round to avoid specific players. Being a good sport means you accept the good with the bad. Gayle is happy to discuss your reasons why the day before a session, not during the session.
Player Ambassadors
If a player does not have RSVP access and is on the casual player list, they do NOT have permission to offer their demo paddles without prior consent. Most times this will not be granted.
Any player ambassador who takes photos at our sessions to use for their own paddle marketing MUST tag and link back to Gold Coast North Pickleball's Facebook page or Instagram page. Failure to do so will result in no future access to our sessions.

PIMPAMA PARKING
Park on the lower car park, away from the main building near tennis court 9. This is the last court. Parking also available near the netball courts and on Bull Road next to the playground with pathways to the hub. If you arrive late for night sessions, it may be best to try Bull Road first. There is a map for every session to see where Bull Road is.
LEGAL NOTICE
By participating in our pickleball sessions, players acknowledge and understand that there is an inherent risk of injury playing pickleball, and will not hold Gayle and Colin Wilson, organisers, other players, or any other organisers liable for any injuries incurred.
Players acknowledge that the court setup and play may involve hazards, including wayward balls, collisions with nets, fencing, tripping hazards such as bags, drink bottles or other players.
To minimise risks, players are responsible for wearing appropriate court footwear with good tread, avoiding running backwards, wearing safety glasses to protect their eyes, storing balls in designated baskets (not in their pockets or clothing), conducting their own pre-game warm-up and stretching, and alerting organisers to any potential safety issues.
Players are to provide via their app profile, their IN CASE OF EMERGENCY contact details. This person has be living on the Gold Coast so they can come if you are injured and unable to drive home.
Additionally, players who break a loan paddle will be responsible for the replacement cost, which varies depending on the type of paddle. The player will pay $20 for a black paddle (yellow tape top) replacement , $50 for an Engage Trident and $100 for a carbon demo paddle (red tape top).
Players will abide by the City Of Gold Coast Pimpama Sports Hubs terms of use. See the board next to tennis court 6. This especially includes no dogs, no smoking, no bikes, no scooters, no skateboards, no loud music.
By participating, players acknowledge that they have read, understood, and agreed to these terms.

The player who attends sessions has been made aware of these terms and conditions page in the session description in the Stack Team App and in attending any session, accepts and will abide by them. Onus is on the player to take the time to read them.
